Notary Provider Roster
Become a Notary with VeriRoute Concierge
Review the provider guide below, then complete the contact & qualification intake form to be considered for independent-contractor general notary assignments.
Purpose
This guide outlines information and practical items a notary may need to be considered for independent-contractor general notary assignments through VeriRoute Concierge. VeriRoute Concierge is an established provider of mobile notary public and document services. We maintain a notary roster to coordinate qualified providers for assignments. Roster submission or inclusion does not guarantee an assignment. This guide is informational and is not legal, tax, or insurance advice. Requirements vary by state and assignment; confirm applicable rules and current assignment requirements before accepting work.
1. Active notary commission and core credentials
Before accepting a notarization, make sure you have:
- An active notary commission in the state where the notarization will take place, and authority to perform the requested notarial act there. Keep track of your commission's expiration date and renew on time.
- The stamp or seal required by your state. Use only a seal that meets current state requirements and matches your commission information. Do not notarize before your commission is effective.
- A secure notary journal or recordkeeping method. Follow your state's requirements for what must be recorded, when, and how records must be protected. Do not treat a journal as optional where state law requires it.
- Current government-issued identification for your own identity verification if requested. At appointments, follow applicable rules for identifying signers; a signer's ID does not replace your responsibility to complete the required identification process.
- Errors and omissions (E&O) insurance information, if requested. E&O coverage is not universally required by law. A hiring company or assignment may require a particular limit; verify the current requirement before purchasing or accepting an assignment. Coverage limits such as $25,000–$100,000 are examples sometimes requested by companies, not a universal VeriRoute Concierge requirement.
2. W-9 and independent-contractor information
If engaged as an independent contractor, be prepared to provide:
- A completed and signed IRS Form W-9, using the name and tax classification applicable to your tax situation.
- Your mailing address and the taxpayer identification number requested on the form (generally an SSN or, when appropriate, an EIN).
- Requested contact and payment details through an approved secure process.
Use the current IRS form and instructions; do not send a completed W-9 through an unsecured channel. A W-9 is a tax information form, not a determination of your worker classification or tax obligations. Consult a qualified tax professional if you need help choosing a tax classification or taxpayer identification number.
Complete and sign your W-9 securely through Adobe Acrobat Sign, below.
3. Mobile appointment readiness
For mobile general-notary appointments, consider preparing:
- Reliable transportation and a valid driver's license, if driving to appointments
- A dependable phone or tablet with charged battery, service, and access to appointment details
- Blue and black ink pens and basic supplies appropriate to your state and the assignment
- Loose acknowledgment or jurat certificates only when permitted and appropriate under applicable rules; never select or complete a certificate on a signer's behalf when doing so would exceed your role
- A secure way to carry and protect documents and journal records
- A portable printer or scanner only when needed for the assignment or required by the hiring company; these are not universal legal requirements for general notary work
Protect client information during travel and after the appointment. Do not photograph, copy, transmit, or retain client documents or identification unless permitted, necessary for the assignment, and handled through an approved secure process.
4. VeriRoute Concierge roster and assignments
VeriRoute Concierge is an established provider of mobile notary public and document services. Roster inclusion or verification does not guarantee that assignments will be offered.
Before accepting an assignment, confirm it is within your commission's authority and your service capabilities. Review the date, time, location, requested notarial act, travel expectations, compensation, and any required supplies. Ask for clarification before accepting if instructions are incomplete or appear to ask you to provide legal advice, choose a document, or act outside your notarial authority. Never sign or stamp a document that has not been properly completed for the requested act.
